BOOKING TERMS AND CONDITIONS
Please read and understand the conditions of booking set out below, as well as the Essential Information relating to your journey.
All bookings are made with Smart Voyages SAC, Peru trading as Smart Voyages. By booking a journey with Smart Voyages (us), you (Traveler) are agreeing to these Booking Terms and Conditions.
Dates, itineraries and prices are valid from 01 January 2019 until 31 December 2019. Beyond 31 December 2019 dates, itineraries and prices are indicative only.
ACCEPTANCE OF BOOKING AND PAYMENT POLICY
Acceptance of your booking will be confirmed by e-mail. To hold your reservation, you will be required to pay 50% of the total journey cost at the moment of booking, hereinafter called partial payment. Balance payment is due 61 days’ prior the departure date. If this balance is not paid on or before the due date, we reserve the right to treat your booking as cancelled. If your booking is made within 60 days of the departure date, the full amount is payable.
To hold your reservation, you will be required to pay 50% of the total journey cost. This partial payment will include a non-refundable $450 per person fee. Balance payment is due 61 days’ prior the departure date. If this balance is not paid on or before the due date, we reserve the right to treat your booking as cancelled. If your booking is made within 60 days of the departure date, the full amount is payable.
FOR AMAZON CRUISES
A deposit of US $550 per person is required to hold your Amazon river cruise reservation. Balance payment is due 101 days’ prior the departure date. If this balance is not paid on or before the due date, we reserve the right to treat your booking as cancelled. If your booking is made within 100 days of the departure date, the full amount is payable.
PRICES & SURCHARGES
Our trip prices are published in USD, and are subject to variable and seasonal pricing. This means our itinerary prices may vary at any time in accordance with demand, market conditions and availability. We will not surcharge any booking once the deposit is received or if the booking is paid in full (whichever comes first).
In order for us to confirm your travel arrangements you must provide all the requested details in a timely manner. Necessary details include but are not limited to full name as per passport, date of birth, nationality, passport number, passport issue and expiry date.
CANCELLATION BY THE TRAVELER
A cancellation will only be effective when we receive an e-mailed request.
If you cancel: 90 days or more prior to departure, we will retain 50% of the partial payment; between 31 and 89 days prior to departure, we will retain 100% of the partial payment; less than 31 days prior to departure or during the journey, we will retain 100% of the total payment.
Additional $450 per person charge will apply to the mentioned above cancellation fees.
FOR AMAZON CRUISES
For Amazon cruise cancellation, if made 131 days or more before departure, the deposit will be refunded, except for a $225 service charge per person, and, if you have already paid for the cruise, you will be charged an additional third-party credit card penalty of 5% from the total cruise price. For cancellations made from 130 to 101 days prior to departure, the deposit will be forfeited, and, if you have already paid for the cruise, you will be charged an additional third-party credit card penalty of 5% from the total cruise price. Cancellations made 100 or less days prior to departure date are not refundable and full payment will be applied as the cancellation penalty.
CHANGES OR CANCELLATIONS BY SMART VOYAGES
Since the comfort and safety of our Travelers is our number one priority, it may become necessary or strongly advisable to change or modify an itinerary or its portions due to some unforeseen events. Smart Voyages reserves the right to cancel or modify the facilities, services or itinerary flow if needed at any time, providing alternate arrangements of equal or comparable monetary value.
If you wish to change your itinerary or transfer your booking to a third party, you must notify us by e-mail at least 61 days prior to the current and proposed departure date. You will be responsible for any charges imposed by hotels, ground operators or airlines. The Inca Trail entrance permit is nor transferrable neither refundable.
The price of your journey includes:
- all tours as listed in the itinerary
- all entrance fees for the tours listed in the itinerary
- English-speaking guides for all the tours listed in the itinerary
- all the assistance as listed in the itinerary
- all accommodation as listed in the itinerary
- all meals and beverages as listed in the itinerary
- all transportation as listed in the itinerary
- local airport taxes
The price of your journey does not include:
- international airfare
- excess baggage charges
- meals and beverages not listed in the itinerary
- travel insurance
- gratuities (optional)
- other personal expenses
Smart Voyages will not be able to accommodate unaccompanied minors (travelers under 18 years of age) at any of our itineraries. Any travelers under age 18 must be accompanied by a parent, a relative or an official guardian, who will be fully responsible for the minor. Some of the itineraries may not be recommended for children under 7 years of age. Children have to be at least 7 years old on all Amazon cruise departures.
ACCEPTANCE OF RISK
You acknowledge that the nature of the trip is adventurous and participation involves a degree of personal risk. You will be visiting places where certain attributes may present risks and physical challenges greater than those present in you daily lives. It is your own responsibility to acquaint yourself with all relevant travel information and the nature of your itinerary. You will be required to sign a waiver of responsibility prior to participating in all the trekking tours. You acknowledge that your decision to travel is made in light of consideration of this information and you accept that you are aware of any personal risks attendant upon such travel.
PASSPORT AND VISAS
It is your responsibility to carry a valid passport and have obtained all of the appropriate visas, permits and certificates. Your passport must be valid for at least 6 months beyond the duration of the journey. We are not responsible if you are refused entry to the country because you lack the correct passport, visa or other travel documentation.
Travel insurance is compulsory for all Smart Voyages travelers and should be taken out at the time of booking. At a minimum your travel insurance must provide cover against personal accident, death, medical expenses, emergency repatriation and personal liability. We also strongly recommend it covers travel cancellation, curtailment and loss of luggage and personal effects.
LIMITATION OF LIABILITY
Smart Voyages makes arrangements with a network of service suppliers to assist in the running of our itineraries as agent of these third parties. Although Smart Voyages applies high standards when selecting these third-party suppliers, we do not control their acts or omissions and, therefore, cannot be responsible for any injury, illness, damage, death, loss, additional expenses, delays, or any other irregularity.
Travelers shall bear all additional costs incurred as result of any force majeure event, such as hostilities or warlike operations, labor strike, civil war, mutiny, insurrection, rebellion, revolution, climatic conditions or act of nature. A proof-of-loss letter will be issued by Smart Voyages that travelers may use when submitting claims to their insurance provider.
